Privacy Policy
Last Updated: March 3, 2025 · Effective Date: March 3, 2025
1. Scope and Applicability
This Privacy Policy describes how ServiceCaptain ("we," "us," or "our") collects, uses, and protects Personal Information in connection with our website, communications, services, demos, consultations, and client onboarding. "Personal Information" means information that identifies, relates to, or could reasonably be linked with you or your household.
This policy does not cover third-party websites, services, or platforms that we do not control. Links to third-party sites are provided for convenience; we encourage you to review their privacy practices.
2. Information We Collect
2.1 Information You Provide Directly
We collect information you submit through contact forms, consultation requests, newsletter signups, event registrations, and support requests. This may include your name, email address, phone number, company name, job role, project details, and any other content you choose to provide.
2.2 Information Collected Automatically
When you visit our website, we may automatically collect your IP address, device and browser type, usage analytics (such as pages viewed and session interactions), referral and UTM parameters, and similar technical data. We may use cookies, pixels, web beacons, and local storage as described in Section 6.
2.3 Information from Third Parties
We may receive information from partners, referrals, public or professional sources, social platforms, and analytics or marketing providers. We combine this with information you provide where appropriate for the purposes described below.
3. How We Use Information
We use Personal Information to deliver and improve our services, respond to inquiries and support requests, manage sales and accounts, analyze product and site performance, and optimize user experience. We also use it for security, fraud prevention, abuse detection, and legal and compliance purposes.
With your consent or where permitted by law, we may send marketing communications. You may opt out at any time via the unsubscribe link in our emails or by contacting us at hello@servicecaptain.ai.
4. Legal Bases for Processing
Where applicable law requires a legal basis for Processing, we rely on: (a) contract necessity—to perform our agreement with you; (b) legitimate interests—to operate our business, improve services, and communicate with you, where not overridden by your rights; (c) consent—where you have given clear consent; (d) legal obligations—to comply with law; and (e) vital interests or public interest—where required for safety or legal purposes. "Processing" means any operation performed on Personal Information, such as collection, storage, or disclosure.
7. Third-Party Analytics and Advertising
Our site may include analytics and advertising providers (such as Vercel Analytics or similar tools). These providers have their own privacy policies and may offer opt-out controls. We do not respond to browser "Do Not Track" signals in a special way; we apply the practices described in this policy regardless of such signals.
8. Data Retention
We retain Personal Information only as long as needed for the purposes described in this policy, to satisfy legal obligations, resolve disputes, and enforce our agreements. Retention periods depend on the type of data and purpose. When no longer needed, we delete or anonymize data where feasible.
9. Data Security
We implement reasonable administrative, technical, and organizational safeguards, including access controls, encryption in transit, monitoring, least-privilege principles, and incident response practices. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
10. International Data Transfers
Personal Information may be processed in the United States and other jurisdictions where our Service Providers operate. Where we transfer data from the EEA, UK, or Switzerland, we use appropriate safeguards such as Standard Contractual Clauses, adequacy decisions, or other contractual protections as required by applicable law.
11. Your Privacy Rights
Depending on your location, you may have rights to access, correct, delete, or port your Personal Information, and to restrict or object to Processing or withdraw consent. We verify requests to protect your data and may require proof of identity. Authorized agents may submit requests on your behalf with appropriate documentation.
We aim to respond within the timeframes required by applicable law. To exercise your rights, contact us at hello@servicecaptain.ai.
12. U.S. State Privacy Disclosures (CCPA/CPRA-Style)
For residents of California and other states with similar laws: We collect categories of personal information such as identifiers, contact information, commercial information, internet activity, and inferences. We use and disclose this for the purposes described in Sections 3 and 5. You have rights to know/access, delete, correct, opt out of sale or sharing (we do not sell personal information), and limit use of sensitive personal information where applicable. You have the right to non-discrimination for exercising these rights. Where required by certain states, we provide an appeals process for denied requests; contact us for details.
13. EEA/UK/Swiss Addendum
If you are in the European Economic Area, United Kingdom, or Switzerland, you have rights under applicable data protection law, including access, rectification, erasure, restriction, portability, objection, and the right to lodge a complaint with a supervisory authority. The data controller is Vi Ventures, contactable at hello@servicecaptain.ai. Our legal bases and transfer mechanisms are summarized in Sections 4 and 10.
14. Children's Privacy
Our services are not intended for individuals under 16 years of age. We do not knowingly collect Personal Information from children under 16. If we learn that we have collected such information, we will delete it promptly.
15. AI and Automated Processing Notice
Where AI tools assist our workflows, they support our operations and are subject to human oversight for critical decisions. We do not make solely automated decisions with legal or similarly significant effects unless explicitly disclosed and lawfully supported. If such processing applies to you, we will provide additional information as required by law.
16. Changes to this Privacy Policy
We may update this policy from time to time. Changes will be posted on this page with an updated "Last Updated" and "Effective Date." For material changes, we may provide additional notice (such as email or a prominent site notice) where appropriate. Your continued use after the Effective Date constitutes acceptance of the revised policy.
